May 27, 2015

Mike has set up various calendars, assigned editors, etc, in conjunction with TQ

Global mailing lists- still not showing who is in lists, but a ticket is in with Google. Lists available should show up in contact lists of all users in domain.  Current lists follow the school phone list.

Resource and facility calendars: start with 5 computer labs, 2 carts, 4 buses.  Cannot edit someone out- can only schedule in a blank spot. Discussion of setting parameters for calendar use (24 hour notice, not blocking out huge chunks of time).  Mike and Laura will work to set up this together.

Discussion about shared folders- who do they get set up under? Create a global acct? Give it to the lead teachers? For year 1, have one person in each dept create folders and share with others.  Then explore options.

Activating student accts: original plan started this next week.  Are we ready for this? Discussion of legal/privacy issues around student user names. Still waiting for reply from legal counsel on this.  Topic on hold until information comes through.
Matt will have some student users start next week as a trial

School website is running a week behind project plan, but will be all right

Within. Google groups, used to be able to set up groups within domain and outside in public.  Had some groups created in domain, but message coming up now indicates that this is now inaccessible.  Mike will send screenshot to Laura so she can look into it.  Laura and Mike will meet to discuss this separately.

Mike and Rick will meet to discuss concerns re: Google plus.  Access still needed for teachers.


Residual email issues: delayed messages and missing messages.  Laura is still working with additions and Google on this.  Discussion of ending using mecnet, so that some of these problems go away.  Discussion of stopping forwarding through additions on June 30.  Issue of support staff not being set up on google yet.  Can we get all of the support staff trained sooner than later, so we can pull the plug 6/30? Target 8/1 as new ending of additions so we can use the summer to train support staff? Discussion of who needs additional training.

User feedback- set up a mechanism for getting info from people now and in the fall.  Create a group for this? Allow people to post for themselves.  Need to resolve the groups issue first.

Wishlist? Next generation- what improvements/what other things do we want/need Google to do.  One request so far is teacher and student dashboards when they log in.

Discussion of next steps for tech committee- for next year, digital citizenship curriculum for next year.

Status update for seminars:
Going well, being attended, volunteers to run them

Student email and username discussion- poll results are overwhelming in favor of having their names in the email address. What do we want to consider? Name without date of graduation or other age-defining information.  We could set up grade-level groups to make it easier to sort and email to groups of students.  Discussion of safety concerns related to including student names in email addresses. Suzanne to investigate if there are legal repercussions. If not, we will go forward. Naming convention for student emails: Last name, first initial, if needed middle initial.  Internally will sort by year of grad for sorting groups.

Project plan:
Global mailing lists- still in process to see who is in lists.  Some groups done already, some not.
Mike experiencing issues with emails going to groups failing.  Will send copies to Laura so she can investigate.

Discussion of email issues that came up in survey- Laura to investigate both late emails and missing/misdirected emails

School website in progress.

Calendars and resources- Mike and Tammy working together on this.  Mike has list of "schedulable resources." Review it for things that should be removed/changed/edited.  Narrow down to things that are relevant.

Discussion of folder organization and naming: who will make the folders? Laura to investigate how to create these folders at the administrative level, so they are not owned by a person, but by the school.  We need to ask Tammy about who will have viewing rights to what folders.  Mike wants comments/feedback on the folders

Technical issues status:
Ability for users to create groups: still open.  Google says only administrator can create groups, not something individual users can do.

Mobile sync question: there is mobile device management in the budget for next year.  Pending approval of budget, the mobile device issue should be resolved for next year.

User accounts: trainer working, issue with pw for developer account.  Laura will reset and resend to Mike.

Chat and hangouts: business hangouts have been implemented.  What does this mean? Teachers can create, students can join, students can't create.  Good solution.

App launcher customization: still open.

Google+ open for teachers: without it open you don't have access to photos or picassa. Can we open Google+ for teachers. Waiting on an answer to a security question befor we proceed on this.

Video called not enabled. Significantly limits use of hangouts.  Bandwidth question.

Meeting about network healthy his morning.  Overall healthy- three issues we need to address. Switches, VLAN, and firewall (make sure it's not bottleneck inn)

Discussion of progress of seminar series

Discussion of survey regarding student emails- Paula will send survey out to Dan and Karl for their classes asap.  After results are back, committee will discuss

Discussion of project plan-
Mike has labeled items as "complete," "in progress," and open
Global mailing lists still needs to be addressed ASAP.  help is needed with what lists should be and who should be included
Still need to make the membership of the lists available to everyone so you know who you are emailing when you use a group.
Lists need to be accessible to all people in the domain.  Question is is this possible? Or can you only see a group if you're a member of that group.
Discussion of the differences between groups and email distribution lists
School website- mike and Tammy have met and have started this.  Same info but in a cleaner and neater presentation.  Assumption with new site is that outside viewers are primary audience.  Stuff specifically for teachers will be elsewhere.
Public calendars- mike and Tammy met about this and it is under way
Template library-Mike is looking into categories to make naming and searching for forms easier
Common folder space- need to get this going.  BJC to help with this.

Post-mortem on Monday's training: most feedback was positive
Concerns regarding migrating edline content. Concerns regarding moving to grading in iPass- people will need training.  Create teacher website templates.  Interest in creating teacher and student dashboards so when people log in, they see everything in one place.
Question whether edline and mecnet will remain next year?
Seminar series launched.  Mike is looking for additional people to run seminars.  Double PDPs for those who run seminars.
Share more seminar topics with Mike!!

Signing up students in Matt's classes as a test group.  Matt has students in.  How should he start with them? They all have one password, as soon as they log in, they are prompted to change password. Then they are in.

Discussion of student emails.  Understanding the security needs, is there a way to include their name in the address? The current setup seems like it is unlikely to be used by students, and maybe have issues getting blocked by spam filters on the receiving end at employers/colleges.  We want the names to be user friendly while still thinking about safety.

Project plan:
Global mailing lists- users need to see who is in a group when they use the group email address.  Laura is looking in to see if this can be set up.
Do we have all the lists we want? Tammy will heck into this.  Also if we need more.
Mecnet content migration is happening.  People can request that Laura move stuff for them.
School website- mike is on it. Needs time with Tammy to clarify things.
Public calendars- need to get going on this.  How many different school calendars should we create? Who has editing rights?
Identifying schedulable resources and set up calendars for that.

Migrating content from edline.  When will edline go away so teachers can know when to get stuff off of there and into google.  Deadline of June 30th.

Setting up templates- need to organize them.  Can we customize the categories that templates get put into so there is some organization? Naming is important because that is how stuff will get organized.

Project plan more or less on track- lots of work to do

Add a column of open/closed for project plan, so we know if items are done

Outstanding technical issues-
Drive sharing-  closed
Groups- just open the ability to create groups for faculty, secretaries, admin only. Concern re: managing all these groups
Google plus- admin and faculty only
Mobile device sync- discrepancy between Apple devices and android devices.
Chrome browser sync- closed
Mecnet migration- closed
Creation of user accounts- training account created, need a second one for developer. Restrict to only send email within domain
Chats and hangouts- access only for teachers and admin.  Question is can student s create hangouts? Need to research.
App launcher- customize for everyone
Classroom- teachers are still having problem creating classes
